HKSpanishtutoring – Terms and Conditions
​
The following Terms and Conditions govern your use of the online booking system and the services provided by all tutors and associate tutors of HKSpanishtutoring. By using the system and engaging in lessons, you agree to be bound by these Terms. Please read them carefully before booking.

A. Commitment to Lessons & Holiday Scheduling
​
A1. Weekly Lesson Commitment

A1.1 Clients commit to a dedicated weekly lesson slot, arranged directly with the founder of HKSpanishtutoring.

A1.2 This slot is reserved on a recurring basis unless an end date is mutually agreed upon.

A1.3 The commitment applies every week, except during the designated non-working periods outlined in A2.
A2. Non-Working Periods
The following are considered standard non-working days:

A2.1 UK Bank Holidays: All official UK bank holidays are observed.

A2.2 Christmas Break: From 24th December to 3rd January (inclusive).

A2.3 Annual Leave: Tutors may take leave outside these dates with a minimum of 4 weeks’ notice.
A3. Associate Tutor Schedule Changes​
Some HKSpanishtutoring associate tutors work part-time as school teachers in addition to their private tutoring roles.
Tutor availability may occasionally be affected by school-related commitments, including meetings, events, or changes to their teaching schedule.

A3.1 Tutors will aim to give notice and reschedule lessons at a time that works for you.

A3.2 We ask clients to be understanding and flexible when these changes arise.
A4. Client School Holiday Arrangements

A4.1 Clients must inform tutors of school holiday dates in advance.

A4.2 A minimum of 4 weeks’ notice is required for planned breaks.

A4.3 Ideally, school holiday schedules should be shared at the start of tuition.

A4.4 If no notice is given, tuition continues as normal and lessons will be charged.

A4.5 The standard cancellation policy applies to missed or unattended lessons.
A5. Slot Retention & Attendance

A5.1 Your weekly time slot is held exclusively for you.

A5.2 Repeated absences or no-shows may result in the slot being reassigned.

B. Cancellation Policy for Lesson Bookings

B1. Cancellation by Client – 1:1 Lessons

B1.1 Cancellations must be made via the official communication channels.
-
B1.2 Cancellations made more than 24 hours in advance: No charge (unless repeated – see B1.4).
-
B1.3 Cancellations made within 24 hours: 100% fee applies.
-
B1.4 Repeated cancellations (more than once in 4 weeks): 100% fee applies.
-
B1.5 If 3 cancellations occur in a month, the lesson slot may be terminated.

B1.6 Terminated clients may reapply for a new slot after one month (subject to availability).

B1.7 To cancel a weekly or biweekly slot entirely, 4 weeks' notice is required.
-
B1.8 Pre-paid block bookings may be non-refundable in some cases, regardless of notice period.
B2. Cancellation by Client – Group Lessons

B2.1 Cancellations must be made via the official channels.
-
B2.2 Cancellations made more than 24 hours in advance: No charge (unless repeated – see B2.4).

B2.3 Cancellations within 24 hours: 100% fee applies.

B2.4 Repeated cancellations (more than once in 12 weeks): 100% fee applies.
-
B2.5 Three cancellations in a month may lead to slot termination.

B2.6 Clients whose slots are terminated may reapply after one month.
-
B2.7 Cancelling a weekly/biweekly group slot requires 4 weeks’ notice.
-
B2.8 Pre-paid or exclusive group bookings may still be chargeable upon cancellation.
B3. Payment & Refund Policy

B3.1 No refunds for cancellations made within 24 hours of the lesson.

B3.2 If a slot is terminated due to cancellations, pre-paid lessons may be refunded minus fees.

B3.3 Cancellations must be made via email/phone (if <48 hours before lesson) or online booking system (if >48 hours).

B3.4 Pre-paid lessons during the 4-week notice period are non-refundable.

B3.5 Disputes must be submitted in writing within 7 days.

B3.6 The founder will review disputes and make a final decision within 7 days.
B4. Cancellation by Tutor

B4.1 Tutors will provide reasonable notice when canceling a lesson.

B4.2 Clients may choose to reschedule or receive a full refund.
B5. Exceptions

B5.1 Policy may be waived if rescheduling is possible within the same week, however tutors often have full timetables so please note rescheduling is not often possible.
B6. Lesson Punctuality

B6.1 Lessons start at the agreed time regardless of client arrival time.

B6.2 Tutors are not obligated to extend sessions for late arrivals.
B7. Rescheduling

B7.1 Requests must be made via the designated channels.

B7.2 Rescheduling is subject to tutor availability and applicable fees.
B8. Policy Updates

B8.1 HKSpanishtutoring may update this policy at any time.

B8.2 The most recent version will be available on the website.

C. Terms of Service

C1. Grade Guarantee & Termination

C1.1 No specific grade outcomes are guaranteed.

C1.2 Lessons may be terminated due to misconduct or policy violations.
C2. Lesson Prices & Dynamic Pricing

C2.1 Prices may change with a minimum of one month’s notice.
-
C2.2 Dynamic pricing may apply depending on tutor availability and demand.
C3. Payment & Billing

C3.1 All lesson fees are payable in advance.
-
C3.2 A minimum of 4 lessons must be paid in advance for ongoing tuition.
-
C3.3 Ad-hoc bookings must be paid within 7 days of invoicing.
-
C3.4 Accurate billing details must be provided by the client.
C4. Client Responsibilities

C4.1 Clients must participate actively and complete assignments.
-
C4.2 Clients are responsible for ensuring they have necessary materials.
-
C4.3 Learning goals should be communicated clearly to tutors.
C5. Tutoring Methodology

C5.1 Tutors use expert methods tailored to individual students.

C5.2 Student effort is essential for progress, alongside tutor support.
C6. Confidentiality

C6.1 Personal information is handled according to the privacy policy.
C7. Online Booking System

C7.1 Ad-hoc bookings can be made online during non-peak hours.
-
C7.2 Peak hours require a regular weekly slot with pre-payment of 4 lessons.
C8. Modifications to Terms

C8.1 Terms may be updated at any time.

C8.2 Latest version will be posted on the website.

D. Client Responsibility for Technology

D1.1 Clients must ensure they have a reliable device and internet.

D1.2 Links for lessons (Zoom/Google Meet) must be tested at least 15 minutes before the lesson.

D1.3 No refunds are given for lessons missed due to client-side technical issues.

D1.4 If a tutor's technical issues interfere, a reschedule or refund may be offered.

E. Assignment Responsibility

E1. Homework Assignments

E1.1 Homework may be assigned to reinforce learning.

E1.2 Assignments must be submitted on time.

E1.3 Homework is essential for effective progress.
E2. Progress Evaluation

E2.1 Tutors assess students based on participation, homework, and performance.

E2.2 Feedback is provided at the tutor’s discretion.
E3. Exam & Course Preparation

E3.1 Lessons are tailored to align with academic goals.

E3.2 Tutors adjust methods and materials to suit individual student needs.

F. Associate Tutors – Service & Liability Disclaimer

F1. Independent Contractors

F1.1 Associate tutors are independent and not employees of HKSpanishtutoring.

F1.2 They are solely responsible for their own teaching and conduct.
F2. Limitation of Liability

F2.1 The founder is not liable for any content, advice, or methods used by associate tutors.
F3. Responsibilities of Associate Tutors

F3.1 Tutors must follow legal and ethical standards.

F3.2 Any disputes are between the client and the associate tutor.
F4. Client Acknowledgment

F4.1 Clients accept that HKSpanishtutoring is not responsible for associate tutor performance.
F5. Indemnification

F5.1 Both clients and associate tutors indemnify HKSpanishtutoring against disputes or claims.
F6. Amendments

F6.1 These terms may be amended at any time.

F6.2 Changes take effect immediately upon being posted.
F7. Governing Law

F7.1 These terms are governed by UK law.

F7.2 Disputes are subject to the jurisdiction of UK courts.
